Sending encrypted emails the convenient way
You share confidential information with job candidates, project team members, banks and authorities. Often, you need to attach files to your emails when you send out references, financial documents, reports and presentations. You may even have accidentally entered the wrong recipient into the To: field of your email – an error that’s increasingly common and often extremely widespread. Yet this type of action is an infringement of today’s compliance requirements and legal regulations governing how confidential information and personal data is to be handled. So what can you do to ensure that your emails and attachments are fully encrypted when you send them, while simultaneously avoiding the complexity of PGP technology?
End-to-end encryption for transmission and access
Solve the problem with the RegDOX® add-in for Microsoft Outlook. This add-in uses the security functions of the RegDOX® Secure Data Room and ensures that your files are fully protected on their way from you to the recipient.
Once you’ve installed the Outlook add-in, you can quickly and easily send confidential documents via your data room. It automatically converts your attachment to a link and prompts you to save it in the RegDOX® Data Room. The document is fully encrypted during transmission and storage in the data room. The recipient of your email accesses the encrypted document by clicking on the link and can edit it as required.
The solution gives you even more control with the addition of attributes that define what the recipient is allowed to do with your business documents – print, save and forward them or only read them. You can also define the security category of the destination folder and request that the recipient logs in with a separate PIN code – an additional security option on top of the password – before they can access the attachment. The text of the message itself can, naturally, also be encrypted and replaced by a link.
